C-talk Voicemail Guide

For a basic introduction to Voicemail (including how to record your message), please see the C-talk Startup Guide

There are 4 sections we're going to cover in this help file:
  1. Checking and managing your messages via the portal
  2. Adjust your Voicemail settings (incl Voicemail -> email)

IMPORTANT NOTE: For many customers with a PABX in your business, your voicemail is mananged by the PABX and NOT via C-talk's voicemail system.  If this is the case, your C-talk voicemail will most likely be disabled and you will see an appropriate message to that effect in the status  area.  If you're not sure, or you think your voicemail shouldn't be disabled, please contact us to check.



1. Checking and managing your messages via the portal
You can check, listen to and delete your voicemail messages easily via the C-talk Web Portal

To view your messages (after logging in), click on the "Messages" link on the left-hand menu.  You will see a list of your new (and possibly old) messages.

You can download any of the messages to your computer to listen to.
To do this:

  1. Click on the message you wish to download (eg. the subject).  That particular message will "open"
  2. Now click on the yellow speaker icon, and your browser will ask you to save the file to a location on your computer
  3. Choose a location that's easy to find (eg. your Desktop) and then click save.
  4. You can now open the sound file from your computer (eg. your Desktop) and listen to it
  5. You can also use the "Delete" link to delete the message from your voicemail

Click on "Messages" from the left-hand menu to go back to the main voicemail folder view.

You can delete multiple messages at once by ticking them in the check box, then clicking the "Delete" link



2. Adjusting your Voicemail settings
To adjust the settings for your Voicemail, from the main (index) portal page, click the "Voicemail Service" link.  There are a few options here that we'll explain:

First you can disable/enable the voicemail completely using the check/tick box

The next two boxes relate to accessing your voicemail remotely from another phone.  You must specify a PIN to enable remote access.  

In the 2nd box you can enter a specific number (eg. your cell phone number) that doesn't need to enter the PIN

The next box is the timer which specifies how long to ring your phone/s before going to voicemail.  Make sure you check it in practise after making any changes here.

The next "ask for mailbox number" checkbox is important if you want to check the voicemail for C-talk lines/numbers other than that one.  For example, if you had 3 different C-talk extensions/lines in your office, you may want to check the voicemail for all of them from your own phone.  In that case, check this box.  It will then ask you to enter the phone number first when dialling into voicemail

The last box is for Voicemail -> Email.  If you enter an email address here, our system will email you a copy of every voicemail message that is left.  

Please note, if you use voicemail->email the system does not delete the message when it emails you.  Because of this your voicemail folder can become full with messages and disable the voicemail function.  So because of this, it is important that if you use voicemail->email that you log in to the portal and clear out the messages periodically. 



3. Uploading a custom recorded MP3 file for your voicemail message/s
If you wish, you can upload a custom recording of your voicemail message that callers hear, as an alternative to recording it via your phone.  This would be useful if you wish to have a professionally recorded message played for your voicemail.

In the portal, click on the "My Media" link on the left-hand menu.  
From the drop-down menu select "Unavailable message"
Now click "Choose File" and select the file from your computer, then click "Upload MP3" button

Repeat the process again, except select "Busy message"
Upload either the same file, or a separate busy message if you have one

Give our system 5 minutes to activate the new voicemail message/s.



4. Accessing your Voicemail remotely
To access your Voicemail from another phone (remotely), you must have enabled a PIN (under part 3 above).

Then, use one of our regional Voicemail access numbers to dial into the Voicemail system:
Auckland: 09 974 9000
Hamilton: 07 974 9000
Napier: 06 929 9000
Wellington: 04 974 9000
Christchurch: 03 974 9000
Dunedin: 03 974 8000

You will be prompted to enter your "mailbox number".  This is your phone number (of the Voicemail you wish to check) - enter your number including the area code, and then wait.

Next you will be prompted for your PIN.  Enter your PIN (set in the portal), followed by the # key.

The system will now take you to the main menu of your Voicemail - if you have new messages it will begin to play these automatically.
